The demands for schools to be equipped with technical devices, a modern IT infrastructure and secure software solutions are anything but new. This applies to the administration as well as the teaching itself. But when it comes to making the leap into the digital age, state and independent schools are left to their own devices at the end of the day.

The Initiative Group Freie Waldorfschule Chiemgau decided to use the luckycloud in this context. We talked to Axel Schön, managing director of the association, about the background and first experiences with our solution.

Mr Schön, why were you looking for a cloud solution?

Mr Schön: Many employees are involved in the work of our association. For the administration and accounting, we were therefore looking for a solution that would allow all employees and board members secure access to the association's data and would require only a minimum of administrative effort.

In your opinion, what are the special requirements of a school for a cloud solution in general and your school in particular, if applicable?

Mr Schön: Without a doubt, the security of data and easy access for users is the main focus. For ours - as probably for many other schools - a low administrative effort is also of considerable importance, as there is no full-time IT specialist. Building, maintaining and maintaining our own infrastructure would not be feasible or would be far too expensive for us. Last but not least, we were looking for a cloud solution that is also scalable downwards and is suitable and cost-effective, especially at the beginning, even for a small number of users.

How did the introduction of luckycloud go and what are your first experiences with it?

Mr Schön: The introduction was completely unproblematic and fast. After installing the access, all data was mirrored from the previous location into the cloud and one-time releases were set up for the users. Since then, the solution has been available without restrictions and has fulfilled all expectations to date.

In the meantime, we have also been able to introduce luckycloud to the real estate agency of your school. Are there any further expansion plans?

Mr Schön: Yes, in the meantime the roll-out at our educational institution is also being considered. Here too, the administration and the board of directors should be able to share club data.

What criteria should a secure cloud service meet?

Key sovereignty and modern security features

  • Triple encryption: TLS, server-side and client-side encryption. The key sovereignty remains solely with the user.
  • 2-factor authentication: User authentication can be secured with a second factor, such as FreeOTP or Keepass

High availability and geo-redundancy

  • Highly scalable and yield-redundant server clusters: This means that the services are fail-safe and can be expanded or individually adapted at any time.
  • ISO-certified computer centres in Germany: Data processing is carried out exclusively, in separate / protected areas, in highly secure computer centres in Germany.
  • Work independently of time and place for almost any system: Mobile access and fast synchronization ensure this.

Simple teamwork and secure data exchange

  • Web-Office: This allows documents to be easily edited online by several people at the same time.
  • Chat: This allows easy exchange in group chat.
  • Wikis: Working guidelines or documentation can be developed in clearly arranged wikis.
  • Role management: A finely granulated authorization management enables precisely tailored role assignments.
  • Release links: These enable a safe and at the same time fast exchange with students and externals.
  • Encrypted user shares: This means that access is only possible with the appropriate key.
